Building systems with a history you can rely on

Rooftop units, chillers, boilers, generators, switchgear and pumps are serviced by a rotating cast of vendors, and their histories end up in binders, inboxes and vendor portals. ServiceTagPro is designed to give each asset one identity and one continuous record that every authorized vendor contributes to, and that stays with the building.

ServiceTagPro is in development; this page describes how it is designed to work for you.

A ServiceTag is a small NFC tag on the equipment: no battery, no internet connection, nothing private stored on it, and read by the phone you already carry. New to NFC? Start here

Elena's newly acquired office building

An illustrative story. The people and companies in it are fictional.

  1. Inherited uncertainty Elena's firm acquires a twenty-story office building. The previous owner's maintenance history is a folder of scanned documents and a former vendor's memory.
  2. Tag and register During onboarding, the mechanical contractor tags the rooftop units, boilers and generator. Each gets a durable identity and a record of its own.
  3. Every vendor contributes The mechanical, electrical and fire-protection vendors each record their work against the same assets, and every entry says who did what and when.
  4. Ready for the next transition When a vendor contract ends or the building changes hands, the equipment's history stays with the equipment instead of leaving with the vendor.

What you gain

One record per asset, many vendors

Each authorized vendor adds attributed entries to the same continuous record.

A record that cannot be quietly rewritten

Entries are never edited after the fact; corrections are added as amendments, so the record shows what was done and by whom.

Continuity through every transition

Equipment identity and history are designed to survive changes of vendor, manager and owner.

Separate roles, separate authority

Owners, asset managers, property managers and vendors each act within their own relationship to the asset.

Occupants report, without accounts

Where you enable it, office tenants report a problem from the tag with no app and no sign-up, confirmed by a one-time code to the contact you have on record, and see nothing beyond the suite's label.

Beside your existing systems

Designed to sit next to your work-order and maintenance-management tools as the equipment identity and history layer, not to replace them.

No extra hardware

Your engineers and your vendors' technicians scan with the phones they already carry.

When things change

Planned continuity: these examples describe the contact updates, authorized handovers and guest access we are building.

What happens when a service company is acquired or a contract changes?

An approved handover is designed to preserve the equipment's tag and shared record while the current contact details and permissions change in ServiceTag Cloud. The owner or authorized manager controls who takes over; an acquisition does not itself grant access to the building's records.

Can the portfolio include vendors that do not use ServiceTagPro?

Yes, that is part of the planned guest portal. An authorized owner or manager will be able to invite a vendor by email to review the shared history for selected assets and record a service visit in an online browser session, with no app or ServiceTagPro signup. Each entry keeps its contributor's identity.

Good to know

Start with the basics, then open only the detail you need.

  • NFC tags

What NFC tags are, how your phone already uses NFC, and which tag style to choose for indoor, outdoor or metal equipment.

  • NFC tags

NFC privacy: what is actually on the tag?

Why the tag needs no battery or internet connection, how the phone powers it, and what another person can learn by scanning it.

A commercial product. ServiceTagPro is for organizations: your company signs up for a ServiceTagPro account, and your team signs in with their own ServiceTagPro accounts. Customers and tenants can request help without an app or a ServiceTagPro signup. Invited contractors will be able to use the planned guest portal without joining a company workspace.

Other paths

  • Service professionals & contractors

Stay connected to every unit you install or service, and keep the knowledge your business runs on.

  • Field technicians

Scan the equipment and know what you are standing in front of before you open a panel.

  • Homeowners

Scan the tag on your furnace or water heater to reach the company that services it, with the unit already identified.

  • Landlords & property managers

Know what is installed in every unit, who services it and what has been done, through tenant turnover and vendor changes.

  • Facilities & institutions

Hotels, campuses, residence halls and institutions: equipment knowledge for staff, and a way for guests to report a problem without an account.

  • Industrial & high-security sites

Plants, utilities, data centers and secure sites: rugged locked tags, an append-only record, and higher-security tags on the roadmap.

  • Tenants & occupants

Report a problem from the tag on the equipment itself, with no app and no account, where your landlord or manager offers it.
